The Role
The Compliance Support Specialist is responsible for supporting the organization’s compliance with tax regulations and state/provincial registration requirements across all U.S. states and Canadian provinces. This role ensures timely and accurate maintenance of compliance records, assists with sales tax filings, and provides administrative and operational support to the Tax Manager and other Finance team members. The position also manages incoming compliance-related correspondence and ensures proper distribution to relevant departments.
Maintain and update all U.S. state and Canadian provincial registrations for the organization. Ensure compliance with applicable tax laws and regulations across jurisdictions. Monitor renewal dates and complete necessary filings to maintain active registrations. Assist in preparing and submitting sales tax filings for U.S. states and Canadian provinces. Verify accuracy of data used in filings and ensure timely submission. Respond to inquiries or notices related to sales tax compliance. Develop and maintain a comprehensive compliance calendar for all U.S. states and Canadian provinces. Track deadlines for registrations, renewals, and tax filings to prevent lapses in compliance. Communicate upcoming deadlines to relevant stakeholders. Collaborate with the Tax Manager on compliance-related projects and initiatives. Provide research and administrative support for special compliance tasks. Assist other Finance Department roles with compliance activities as needed. Manage the electronic mailbox for scanned incoming compliance-related mail. Review and distribute notices and correspondence to the appropriate departments promptly. Maintain accurate records of notices and responses.
Who You Are
You have a bachelor’s degree in Accounting, Finance, Business Administration, or a related field, preferred. You have a minimum of 2 years of experience in compliance, tax support, or a related finance role. You have familiarity with U.S. state and Canadian provincial tax regulations, considered an asset. You are highly organized and have strong time management skills. You have high attention to detail and the ability to manage multiple deadlines. You have proficiency in Microsoft Office Suite, including Excel, Word, and Outlook. You have excellent communication and interpersonal skills. You are able to work independently and collaboratively in a fast-paced environment. You have strong problem-solving and analytical skills. You are committed to accuracy and compliance. You have professional integrity and understand the importance of confidentiality when handling sensitive information.
The salary range that the employer in good faith reasonably expects to pay for this position is $50,000 - $58,500.
