PRIMARY JOB RESPONSIBILITIES: Reporting to the Associate Registrar, Enrolment and Student Financial Services, the Assistant Registrar, Student Accounts and Awards, serves as the main administrator and subject-matter expert for student awards programming as well as maintaining and improving student accounts receivable and minimizing loss from bad debt.
The key job functions include: • Provide strategic and operational leadership for Student Awards and Student Accounts, ensuring the delivery of high-quality, student-focused services that support the University's mission. • Lead the administration and continuous improvement of student awards, financial aid, student accounts, and related UWinsite Student functional processes. • Ensure compliance with University policies and applicable provincial, federal, and international regulations governing student financial aid, awards, and student accounts. • Oversee financial operations related to tuition, fees, student payments, collections, reconciliations, reporting, audits, and year-end financial processes. • Collaborate with Financial Aid, Registrarial Services, Information Technology, Finance, and other campus partners to enhance business processes, resolve system issues, and support institutional initiatives. • Provide leadership for business process improvement, operational risk management, policy implementation, and the optimization of technology and service delivery. • Lead, coach, and develop staff through performance management, workforce planning, training, employee relations, and fostering a culture of collaboration, inclusion, accountability, and continuous improvement. • Represent the Associate Registrar as required, participate in University-wide initiatives and events, and perform other related duties as assigned.
ESSENTIAL QUALIFICATIONS: The successful candidate will have: • A bachelor’s degree in business or related field. • Three (3) to five (5) years' experience managing multiple direct reports in a professional environment. • Five (5) to seven (7) years' experience in student accounting and student award/financial aid administration. • Extensive experience with large-scale integrated database management tools such as PeopleSoft/Campus Solutions and functional query tools and budgets. • A thorough understanding of generally accepted accounting principles. • Proficiency with computer programs such as the Microsoft Office suite of applications, and database management tools. • Excellent interpersonal, coaching and mentoring skills with demonstrated ability to manage, lead, and motivate unionized staff. • Effective time management and strong organizational skills and the ability to multitask and work under pressure. • Demonstrated attention to detail, the ability to meet strict deadlines and work effectively due to constantly changing institutional and government priorities and mandates. • Strong commitment to customer service and possess effective relationship building and interpersonal skills. • Sound judgment with demonstrated problem solving and analytical skills – ability to identify and analyze opportunities and challengers; generate, propose and execute solutions coupled with a willingness to recommend and implement change. • A high degree of professionalism coupled with the ability to understand and navigate complex internal and external environments using sound judgment, diplomacy, and tact. Ability to maintain effective collaborative relationships with internal and external partners. • Displays empathy, sensitivity, tact, diplomacy, discretion, and sound judgement when dealing with others. • Demonstrated ability to maintain and manage confidential matters and a working knowledge of the Freedom of Information and Privacy Act (FIPPA). • Demonstrated commitment to the principles of equity and diversity and a proven ability to deal effectively with a diverse student, staff, and faculty population. • Strong oral, written and presentation communication skills • Proven conflict and performance management skills. • Familiarity with the University’s academic and administrative structure. • May require some travel to support university-wide initiatives.
PREFERRED QUALIFICATIONS: • Master’s degree in higher education administration, higher education, education, business administration, or related field OR Recognized accounting designation (CPE, CA; CPA, CMA or CPA; CGA).
