Based out of our Saskatoon Plant, we are hiring a full-time Administrative Assistant to be a part of our team. The Administrative Assistant is responsible for providing general administration support for the WCRL Saskatoon Division’s Management team. The role is accountable for assisting the Purchasing Department in receiving all goods in the system, assisting the Sales Department with the finished goods processing and performing Accounts Payable related data entry for the Division. The Administrative Assistant is also responsible for serving as the face of the company by greeting visitors, handling incoming phone calls, and managing activities with couriers. Build a stable career at a reputable company with more than 450 employees Comprehensive compensation package offered to full-time employees including employer-paid extended health benefits and life insurance Generous RRSP matching for employee contributions after 1 year Discretionary annual bonus Opportunities for career advancement Take a look at our About Us video here: https://vimeo.com/396483325 SPECIFIC ACCOUNTABILITIES & RESPONSIBILITIES Administration • Serve as the face of West Coast Reduction Ltd. for all visitors to our Saskatoon Plant by warmly greeting them as they arrive at our plant • Answer and forward all incoming calls to the appropriate party • Open, sort & distribute incoming mail daily • Record management – responsible for filing and maintaining the document management system for divisional records • Data entry - Monitor administrative documents to ensure data is up to date • Coordinate incoming and outgoing courier shipments • Order office and kitchen supplies to ensure common areas are well-stocked • Maintain inventory of visitor booklets, and complete sign-in/sign-out sheets when necessary • Assist with general office administrative duties (filing, corporate mailouts, organizing, etc.) to various departments as needed • Event coordination and planning, for annual office events such as flu clinics, hearing tests, etc. • Adhere to the company Code of Conduct and all West Coast Reduction Ltd. policies • Foster a positive team and company culture by ensuring treatment of others is respectful and aligned with company values • Perform other duties as assigned by Manager or Supervisor Purchasing • Ensure all store goods are received in the inventory JD Edwards ERP system • Assist in counting supplies and equipment in stock Sales Administration • Assist in the release of finished goods and invoicing • File and scan all sales related paperwork Accounts Payable • Process raw material scale data while ensuring accuracy • Verify scale data for accuracy and correct appropriate discrepancies as needed • Compare scale tickets against route history and third-party hauling invoices, noting any discrepancies and investigating inconsistencies • Enter supplier invoices with correct coding and supplier information • Match supplier invoice to PO or obtain appropriate manager approval • Ensure all supplier invoices and supporting information are filed correctly THE IDEAL CANDIDATE • Graduate from a recognized post-secondary program for Administrative Assistants, or equivalent Certificate or Diploma is an asset • 2-3 years of experience in an administrative assistant role or similar environment preferred • Demonstrated ability to work independently with minimal supervision • Competency using Microsoft Office Suite products and document management systems • Proficiency in English, both written and verbal, with excellent communication skills
