Role Responsibilities The Accounting Specialist's responsibilities include, but are not limited to: Accounts Payable Process vendor invoices accurately and efficiently across multiple legal entities, recording transactions into QuickBooks Online and our AP automation / invoice-approval platform. Own Aged Accounts Payable reporting for multiple entities, including weekly payment runs and related follow-up. Liaise with clinic managers on vendor statuses and assist with process adoption and implementation. Maintain accurate, up-to-date vendor records to support reporting and payment requirements, performing vendor account reconciliations where necessary. Route invoices through established approval channels and ensure compliance with internal AP controls and policies. Reconciliations Complete monthly credit card reconciliations across multiple users and clinics, ensuring all transactions are coded, supported, and cleared. Perform bank reconciliations on a monthly basis, investigating and resolving discrepancies promptly. Perform intercompany reconciliations, ensuring that all cross-entity invoices are accounted for evenly on both ends. Complete vendor and other monthly account reconciliations as assigned to support an accurate, timely month-end close. Finance Function Duties Process and reconcile expense reports and related transaction streams. Generate standard reports to support reconciliations and month-end close Assist with audit requests and supporting documentation from external parties Support the implementation of new software tools and processes across the organization Support a collaborative, team-first culture and assist fellow team members as needed. Occasional travel between sites/locations may be required. Perform other related duties as assigned. Role Qualifications 3+ years of experience in accounts payable and/or general transactional accounting Demonstrated experience with account and vendor reconciliations. Experience working in a multi-entity environment is a strong asset. Experience with QuickBooks Online and AP automation / invoice-approval software is an asset. Post-secondary education in accounting, finance, or related field. Strong working knowledge of the Microsoft Office suite, particularly Excel (Outlook, Word, Excel) Exceptional attention to detail with the ability to accurately process large volumes of transactions. Comfortable with deadline-driven work and able to sustain accuracy under volume. Proven ability to follow, ensure compliance and improve upon established processes and controls. Ability to work effectively both independently and as part of a team. Dependable, organized, and adaptable in a fast-paced, evolving environment.
