Instant Lawns is a landscaping company servicing the Ottawa area and we are looking for full-time Office Assistants to join our team!
As a family owned and operated business, we stand behind our name and strive to deliver a final product that we would feel great about seeing on our own front yard. We are committed to providing a superior level of customer service and complete our projects on time and on budget. We offer a variety of landscaping services including sodding, artificial turf, hydroseeding, interlock, and irrigation systems.
The positions are full-time with office hours of Monday - Friday: 8:30 - 5:00 pm.
Position Overview
We are currently hiring for two Office Assistant positions. While both roles will support the day-to-day operations of the office and may overlap from time to time, each position will have a slightly different primary focus:
- One role will focus more heavily on customer service, lead management, scheduling coordination, and general office administration.
- The second role will focus more on expense tracking, invoice and receipt organization, accounting support, and other administrative tasks related to company operations and financial record keeping.
We are looking for organized, motivated team players who are adaptable, detail-oriented, and willing to support wherever needed in a fast-paced environment.
Key Responsibilities
As the first point of contact for our customers, you will play a critical role in keeping our office running smoothly and ensuring an exceptional customer experience. Responsibilities include:
- Answering incoming phone calls and responding to customer email inquiries in a polite, professional, and friendly manner
- Providing exceptional customer service at all times
- Creating, updating, and maintaining accurate lead and customer records
- Entering notes, updating fields, and tracking metrics and job milestones in company systems
- Managing multiple streams of information and prioritizing tasks efficiently
- Supporting the daily operations of the office to ensure smooth communication, efficiency, and high customer satisfaction
- Assisting with expense tracking, invoice organization, receipt management, and general accounting support tasks as required
- Demonstrating flexibility by assisting with additional administrative, clerical, or management-related tasks as assigned
- Maintaining a high level of focus, organization, and self-motivation throughout the workday
Required Skills & Qualifications
- Confidence and professionalism when answering phones and communicating with clients
- Strong typing and computer skills
- Excellent organizational skills and attention to detail
- Ability to multitask and manage competing priorities
- Self-motivated with a proactive, problem-solving mindset
- Friendly, outgoing personality with strong interpersonal skills
- Ability to anticipate issues and seek solutions ahead of time
- Comfortable coordinating tasks and ensuring work is completed properly
- Previous office administration, bookkeeping, accounting support, customer service, or administrative experience is considered an asset
