Position Overview 

We are seeking a highly organized, discreet, and detail-oriented Personal Accountant & Administrator to provide comprehensive financial and administrative support to the Chief Executive Officer and related personal entities. The successful candidate will act as a key liaison with external professional advisors, including accountants, lawyers, bankers, investment advisors, and insurance brokers, while ensuring the highest standards of accuracy, professionalism, confidentiality, and service.

Salary: $75,000 - $85,000 per year

Shifts: 8-hour day, 40 hour work week, full-time and permanent 

Location: must be based in Canmore AB

Key Responsibilities 

 

PERSONAL ACCOUNTING & FINANCIAL MANAGEMENT

 

Standard: Ensures all personal financial records and transactions are maintained accurately, efficiently, and confidentially.

  • Manage all aspects of personal bookkeeping and financial administration for the CEO and related personal entities.
  • Process and reconcile personal bank accounts, credit cards, loans, and investment accounts.
  • Manage accounts payable, bill payments, expense tracking, and cash flow monitoring.
  • Prepare periodic personal financial reports, net worth statements, and cash flow summaries.
  • Coordinate with external accountants to support the preparation and filing of personal, corporate, and trust tax returns.
  • Maintain complete and accurate financial records and supporting documentation.
  • Ensure all financial information is handled with strict confidentiality.

 

 

INSURANCE, RISK MANAGEMENT & ASSET ADMINISTRATION

 

Standard: Maintains accurate records and effective administration of personal assets, insurance programs, and risk management activities.

  • Administer and coordinate personal insurance programs, including property, auto, liability, travel, and specialty insurance coverage.
  • Coordinate annual insurance renewals and ensure appropriate levels of coverage are maintained.
  • Maintain detailed records of personal assets, including real estate, vehicles, recreational assets, and other investments.
  • Assist with insurance claims and coordinate with brokers and service providers as required.
  • Identify and communicate potential financial or administrative risks.
  • Maintain organized records related to asset ownership and insurance coverage.

CONTRACT, LEGAL & CORPORATE ADMINISTRATION

Standard: Ensures legal, contractual, and corporate records are maintained accurately and confidentially.

  • Maintain and organize all personal legal, corporate, and contractual documentation.
  • Coordinate with legal counsel regarding contracts, estate planning, corporate filings, trusts, and other legal matters.
  • Track key dates, renewals, filing deadlines, and contractual obligations.
  • Support the administration of personal corporations, holding companies, trusts, and other business interests.
  • Ensure records are maintained in an organized, secure, and confidential manner.
  • Assist with document preparation and information gathering for external advisors.

 

 

PERSONAL BUSINESS, HOUSEHOLD & ADMINISTRATIVE MANAGEMENT

Standard: Ensures personal administrative matters are managed proactively, accurately, and efficiently.

  • Coordinate and oversee administrative matters related to personal residences, household operations, and personal business interests.
  • Manage relationships with household vendors, contractors, service providers, and property managers.
  • Coordinate major purchases, maintenance activities, and special projects on behalf of the CEO.
  • Ensure personal administrative matters are completed accurately and in a timely manner.
  • Maintain organized filing systems and records for all personal affairs.
  • Monitor deadlines, payments, renewals, and other ongoing obligations.

EXECUTIVE PERSONAL SUPPORT & SPECIAL PROJECTS

Standard: Provides proactive, high-level support while maintaining exceptional discretion and confidentiality.

  • Provide high-level, confidential support to the CEO on a wide range of personal and financial matters.
  • Act as a liaison between the CEO and external advisors, including bankers, accountants, lawyers, insurance brokers, and other professionals.
  • Anticipate needs, proactively identify issues, and recommend solutions.
  • Lead and coordinate special projects and initiatives as assigned.
  • Prepare reports, summaries, and presentations as requested.
  • Maintain absolute confidentiality regarding all personal, financial, legal, and business matters.

REQUIREMENTS

  • Post-secondary education in Accounting, Finance, Business Administration, or a related field.
  • Minimum 3-5 years of accounting, bookkeeping, financial administration, or related experience.
  • Strong knowledge of accounting principles, bookkeeping practices, and financial reporting.
  • Advanced proficiency in Microsoft Excel and Microsoft Office Suite.
  • Experience working with accounting software and financial management systems.
  • Exceptional organizational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to work independently and manage multiple priorities simultaneously.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to handle highly confidential and sensitive information with discretion and professionalism.
