Vena Solutions is seeking a highly organised and proactive Administrative Assistant to join our team. This is a Full-Time, remote position based in Calgary, Canada. At Vena Solutions, we provide a cutting-edge, AI-powered financial planning and analysis (FP&A) platform that integrates seamlessly with Microsoft technology to revolutionise business planning. The successful candidate will play a crucial role in providing comprehensive administrative support, ensuring the smooth and efficient operation of our daily activities. You will be an integral part of a dynamic team dedicated to helping organisations streamline their workflows and achieve greater financial insight.
Responsibilities
Manage and maintain executives' schedules, appointments, and travel arrangements. Organise and coordinate virtual meetings, including preparing agendas and taking minutes. Handle and screen incoming communications, redirecting them to the appropriate person or department. Prepare and edit correspondence, reports, presentations, and other documents. Maintain and organise digital filing systems, ensuring documents are easily accessible. Assist with basic data entry and the preparation of expense reports. Act as a point of contact for internal and external stakeholders, demonstrating a high level of professionalism. Provide general administrative support to ensure the team's operational efficiency. Qualifications
Proven experience in an administrative or executive assistant role. Exceptional proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) is essential. Outstanding organisational and time-management skills with the ability to prioritise tasks effectively. Excellent verbal and written communication skills with meticulous attention to detail. A proactive and resourceful problem-solver with the ability to work independently in a remote environment. Strong interpersonal skills and the ability to build relationships with stakeholders at all levels. Experience working within a technology or financial services company is advantageous but not required.
