About the role

PROFILE

This position is an integral part of the Operations Department, responsible for managing the full order cycle through accurate and timely order processing, validation, and customer service. The Software Fulfilment Specialist reviews purchase orders against sales quotes, verifies customer information, pricing, discounts, and required documentation, monitors order status, and communicates updates or issues to customers, vendors, account managers, and internal teams. The role also supports accurate revenue recognition by ensuring order details are complete and assists with payment processing, receipts, and invoicing for completed orders.

DUTIES AND RESPONSIBILITIES

  • To manage the order cycle, process orders in a timely and accurate manner.
  • Order acknowledgement, validation/integrity check of order placing on a number of external systems; communicating details to the appropriate vendors.
  • Monitor order status, communicating any issues to customers/vendors.
  • Ensuring accurate items are included on estimate to ensure accurate revenue recognition.
  • Providing contact point/knowledge base for sales team and internal/external customers in all aspects of administration and support as required.
  • Ensure orders are entered, calculated, and processed correctly.
  • Review customer purchase orders and make sure they match sales quotes.
  • Ensure all necessary information has been included in the sales order.
  • Verify customer information is correct, check pricing, and add any associated discounts supplied by vendors.
  • Confirm any additional paperwork needed to complete the order has been attached to the sales order. Follow up with the account manager if not.
  • Receive and process credit cards, forwarding receipts, and invoices to customers.
  • Prepare and send invoices for processed orders.
  • Performs other related duties as assigned, consistent with the scope and level of the role.

SKILLS AND REQUIREMENTS

  • Minimum 2-4 years experience in order management or related field.
  • An understanding of basic accountancy principles.
  • Associates Degree
  • Ability to multi-task
  • Experience with ERP systems
  • Strong administrative organization skills
  • Accurate with attention to detail
  • Ability to work independently and team environment
  • CRM Experience is an asset but not required
  • Work well under pressure
  • Strong verbal and written communication skills, as well as outstanding interpersonal skills (individual, group, in person and via electronics media internally and with clients

 

COMPENSATION

  • $54,000 - $62,000 CAD + bonus potential 4% of base
