Department: Centre Eaton de Montréal, Place Montréal Trust & Le 1500

Position type: Contract (maternity leave replacement)

Specific accountabilities

The incumbent will contribute to the team's success by providing support to the administration, operations and marketing personnel of the Montreal Eaton Centre, Place Montreal Trust and Le 1500 with regard to numerous analyses, budget tracking, and updates to various systems. Specific responsibilities include the following:

  • Analyze and interpret weekly, monthly and annual customer traffic figures from the three footfall systems; respond to specific requests for traffic-related data;
  • Obtain copies of insurance certificates from permanent tenants;
  • Obtain copies of HVAC maintenance contracts from permanent tenants of the Montreal Eaton Centre;
  • Prepare various reports and statistical analyses throughout the year, including:

  • Monthly occupancy reports (Juice application);

  • Monthly sales reports (overall, by category and by trend); send monthly recaps to tenants;
  • Water and energy consumption analyses;
  • Waste, recycling and composting statistics and analysis;
  • Provide support to the administrative assistant; serve as the administrative assistant's replacement for office access cards as necessary (programming, requests, list updates);
  • Analyze and track budget-actual variances on an ongoing basis; be proactive in compiling movements of permanent tenants as soon as information becomes available in order to notify the concerned parties;
  • Generate various JDE, Juice, Tips and Excel reports for financial analysis and forecasting purposes; create reports to meet user needs;
  • Update the disposition table on an ongoing basis;
  • Prepare the necessary documentation for budgeting purposes;
  • Take part in the annual budgeting process;
  • Visit and observe other properties in the area (indoors and out) to stay on top of market trends; note retailer openings and closings;
  • Program special holiday messages into the telephone system, in collaboration with the IT department; draft new messages as required.

Key requirements

  • College diploma in administration, or another relevant program of study;
  • Four to five years of experience in a similar field;
  • Advanced proficiency in Microsoft Office applications, especially Excel (intermediate level). Familiarity with JDEdwards desirable;
  • Affinity for numbers and customer service;
  • Aptitude for organization and prioritization;
  • Solid communication, interpersonal and teamwork skills;
  • Ability to work within tight deadlines;
  • Good knowledge of written and spoken French and English.
