Some of your significant contributions will include:

  • Assure timely collection of monies due to the company
  • Collect on overdue accounts
  • Investigate and resolve customer queries
  • Assure timely and accurate invoicing
  • Manage cash application making sure all cash receipts are applied properly
  • Assure that the company's standard template regarding invoice sample is in place for every customer
  • Weekly reporting of invoicing totals/aging totals/cash receipts/invoice adjustments
  • Other: client reconciliation, balance sheet reconciliation, bank reconciliation, progress billing, percentage completion contracts, etc.
  • Charges expenses to accounts and cost centers by analyzing invoice/expense reports; recording entries.
  • Pays vendors by monitoring discount opportunities, scheduling and preparing checks; resolving purchase order, contract, invoice, or payment discrepancies and documentation; insuring credit is received for outstanding memos; issuing stop-payments or purchase order amendments.
  • Pays employees by receiving and verifying expense reports and requests for advances; preparing checks.
  • Maintains accounting ledgers by verifying and posting account transactions.
  • Verifies vendor accounts by reconciling monthly statements and related transactions.
  • Reports sales taxes by calculating requirements on paid invoices.
  • Accomplishes accounting and organization mission by completing related results as needed.
  • Other Ad Hoc projects and responsibilities as required
  • Reconciles Bank and Credit Card accounts on periodic basis and resolves differences if any.

About you:

  • Post-secondary degree/education in accounting, finance or related administrative field
  • Minimum 3 years experience in accounting or bookkeeping roles
  • Must have experience in QuickBooks
  • Strong working knowledge of MS Excel (including Vlookups and Pivot Tables)
  • Excellent verbal and written communication skills is required
  • Analytical mind, who uses initiative and creativity to solve many problems
  • Outstanding attention to detail with accurate data entry skills
  • Ability to work with multiple priorities under a tight deadline
  • Capable of navigating in a fast-paced and high-stress environment
  • Strong attention to detail and ability to work with little instruction or direction
  • Wired to have fun and work hard with a great team of like-minded people!
