The Executive Assistant provides administrative and analytical support to primarily the Corporate Tax team located in Toronto, ON. This role will also provide administrative support to other Toronto based Finance teams.

Key Accountabilities:

  • Manage the overall coordination of calendars, meetings (onsite and offsite) and conference calls in multiple time zones using Outlook.
  • Responsible for coordinating all details surrounding meetings including making travel arrangements, booking meeting rooms, ordering catering and other support required. This includes organizing and scheduling with the McCain Travel Department all flights, hotel bookings, rental cars, etc.
  • Manage information flow, corporate documents to be signed and emails from both internal and external sources, organizing and responding accordingly.
  • Assist with management of SharePoint sites (i.e. maintaining data in Tax Library and shared network drives, creating folders, assisting team with navigation).
  • Preparing documentation as requested using the Microsoft Suite of products including PowerPoint, Word, and Excel. (e.g. Board presentations, global compliance tracking)
  • Maintain organization charts using Visio.
  • Attend and take minutes of meetings with tax authorities.
  • Assist with the onboarding of new employees in the department including requesting network accounts, computer equipment, and scheduling onboarding calls/meetings.
  • Creating and submitting expense reports using SAP software.
  • Raise purchase orders, receive and process departmental invoices using the Coupa procurement system. Respond to supplier queries as required.
  • Train on reception desk and cover occasionally.
  • Act as a back-up for other assistants during illness or vacations, as needed.
  • Troubleshoot laptop/phone issues occasionally.
  • May be assigned additional administrative tasks as required to support business needs.


  • 5+ years of Executive Assistant experience supporting multiple leaders is required.
  • Previous experience supporting a Corporate Tax or Finance team.
  • Ability to work in situations with many tight domestic and global filing deadlines.
  • Strong knowledge of Windows and the Microsoft Office suite of products and be willing to, and be adept at, learning new software programs.
  • Excellent verbal and written communication skills.
  • An ability to work in a team environment and be equally comfortable working independently.
  • Superlative organizational skills, thinking ahead on tasks to anticipate future needs and/or potential challenges that may arise.
  • Ability to problem solve on a daily basis exercising sound administrative judgement with a sense of urgency and in absence of supervision.
  • An adaptable and collaborative style respecting the needs and contributions of others.
  • This position requires diplomacy, confidentiality and the ability to prioritize.
