Position Summary:

We currently have an exciting opportunity for an Accounts Payable Supervisor.  The newly created position will report to the Senior Manager, Procurement & Accounts Payable and provide strong leadership and expert guidance to four (4) Accounts Payable staff. The position will provide supervision, and co-ordinate daily department activities, which includes overseeing all payments to ensure policies, by-laws, are followed and accounting principles adhered to.  

Key Duties and Responsibilities:

  • Supervises the Accounts Payable Department through the efficient payment of all vendor accounts
  • Responsible for supervising the workflow of the department 
  • Directing and/or assisting in the performance of tasks when required
  • Leads and acts as Accounts Payable project manager for the role out of a new Accounts Payable automation system 
  • Provides effective guidance and direction to staff by establishing priorities and objectives and fosters effective teamwork among employees
  • Reviews work productivity of Accounts Payable Department to ensure accuracy and completeness
  • Addresses performance issues and makes recommendations for professional growth 
  • Ensures correct processing and timely payment of invoices in conjunction with other Accounts Payable Staff
  • Balancing and reconciling accounts on a monthly basis and adjusting and correcting opening and closing entries including Accounts Payable monthly and year-end accruals
  • Ensures that all cheques complies with policy and proper approval is attained for release of payment  
  • Periodically performs backup duties of staff in Accounts Payable
  • Perform key analytics to monitor Accounts Payable trends
  • Leads the procurement card program ensuring transactions are reconciled and uploaded in a timely manner
  • Approves the set up of new vendors and changes to vendor addresses, as required, verifying the accuracy of the information
  • Answering queries from all vendors regarding issues with invoices or payment of them.  Directing calls from vendors to appropriate party to solve problems as they arise. 
  • Performs other related duties as required

Minimum Qualifications:

  • Bachelors degree in Accounting or Business Administration, with 5+ years progressive accounting, including accounts payable experience with at least two years in a supervisory capacity   
  • An accredited accounting designation (CPA)  
  • Interpersonal skills; the ability to effectively communicate and interact with those this position supervises, other City colleagues, and individuals external to the City 
  • Sound judgement and ability to handle matters of a confidential, political and/or sensitive nature
  • Ability to work in a fast paced environment; 
  • Advanced Microsoft Excel proficiency
