Title: Accounts Receivable Associate

Reports To: Director of Finance

Summary of Position:

The Account Receivable Associate is responsible for duties including preparing monthly receivable statements, reconciling accounts, and managing overdue accounts. Acting as company’s representative for account receivable inquiries and contacting delinquent accounts in a professional manner. Responsible for processing third party warranties and daily bank deposits including all funds taken through Sales, Parts, and Service Departments.

Duties & Responsibilities:

  • Prepare monthly receivable statements and process weekly & monthly billings, and apply payments efficiently.
  • Provide account receivable support to Service, Parts, and Sales Departments in all our locations to ensure daily cash is balanced and daily bank deposits are completed.
  • Identify accounts in arrears and contact customers professionally in regards to overdue payments via phone or email & collect payments over the phone/email.
  • Contact adjuster/service advisor for assistance to clear amount owed on any outstanding Extended Warranty Claim
  • Process third party warranty payments through credit card machines.
  • Close batch and print batch total report on all credit card machines daily
  • Check all written receipts amounts against batch total reports, reconcile cash, and write up any work orders that do not have a receipt.
  • Build and reconcile multiple receivable schedules.
  • Ensure all account receivable duties and documentation are completed according to company policies and standards.
  • Support and back-up other Accounting functions and administrative duties as needed.
  • Month-end duties include (Both Locations - New Car & Pre-Owned):
  • Run schedule for Accounts Receivable and Warranty Receivable
  • Reconcile accounts
  • Run statements
  • Print out Schedule 7 - Totals Only for Controller
  • Mail statements/File accounting copy
  • Email invoice copies to BMW Canada
  • Stocking in PO vehicles & issuing payments
  • Demonstrate strong teamwork to assist and support other accounting and administrative duties when necessary.
  • Able to work occasional weekends during month-end and year-end when needed.

Required Skills & Experience:

  • 1 - 3 years of experience in a similar position
  • Able to work in a fast-paced environment
  • Flexible, adaptable and able to meet multiple deadlines
  • Working knowledge & application of basic accounting concepts
  • Ability to reconcile accounts, trouble shoot discrepancies & problem solve
  • Bookkeeping experience is an asset
  • Meticulous attention to detail and is highly organized
  • Discrete and able to maintain confidentiality
  • Excellent written and verbal communication skills
  • Computer skills required including MS Office (Word, Office, Excel) and accounting software (Reynolds)

Work Environment:

Full-time Monday to Friday

Work in a collaborative team to complete month end and year end deadlines
