JOB PURPOSE:
Reporting to the Financial Controller, the Payroll Coordinator is responsible for the consistent provision of superior service in regard to data integrity, payroll, and legislative compliance.

PRINCIPAL RESPONSIBILITIES:
Payroll Coordination:
  • Accountable for updating and maintaining the integrity of all employee data, including new hires, status changes, terminations etc., in addition to audit of all entries.
  • Accountable for full cycle payroll, including set up from new entries, to processing, to final audit, according to legislative and contractual requirements.
  • Responsible for maintaining the integrity of and performing modifications on the payroll and time and attendance systems as required. Assist, develop and implement changes directly with the service provider(s) as required, ensuring the accuracy of final results.
  • Process miscellaneous payments such as stipends, vacation dollars, premium pay, miscellaneous bonus, retro pay, severance pay etc. directly into the payroll system. Enter hours in payroll batch for new hires, adjust YTD totals for manual cheques and stop payments when required. Verify, prepare, and release record of employments for designated employees.
  • Ensure employee salaries are updated correctly and promptly.
  • Accountable for the remittance of deductions and premiums to outside agencies including garnishments, family support, and WSIB premiums, as well as other monthly filing/reporting.
  • Accountable for all year-end activities including processing, preparing and distributing T4's, T4A's, T2200's, and all annual reconciliations/filing/reporting.
  • Process multiple payrolls under different payroll software, ensuring familiarity with different pay regulations for various provinces, including statutory pay calculations.
  • Prepare and post payroll-related month-end journal entries for vacation accruals and wages accruals.
  • Adhere to internal approval/processing guidelines (i.e. compa ratio rules etc).

Time and Attendance:
  • Accountable for Medicentres time and attendance system for assigned banners including updating of employee profiles, follow-up with Clinics or departments on missing information required for payroll, entering timesheets for specialty stores and adjustments received via e-mails, checking various reports to ensure payroll will be processed accurately.

Legal Compliance/ Best Practice:
  • Payroll, subject matter expert, ensuring accuracy and consistency, including providing direction with respect to company policies and procedures, taxation issues and legislation. Stays current on changing federal/provincial legislation.
  • Identify and recommend relevant changes to internal payroll and benefits processes to improve provided services.
  • Stay abreast of current and new Medicentres Canada Inc. policies and procedures to ensure new requirements are properly reflected in all payroll, benefits.

Administrative/ Reporting:
  • Communicate all pertinent employee information to the appropriate plan sponsor through self-administered websites, email, and verbal communication.
  • Prepare, calculate, and submit WCB annual return for different provinces. This involves compiling necessary data, performing calculations, and completing the annual return to the Workers' Compensation Board in each respective province.
  • Communicate and collaborate with relevant sources, to provide information and respond to inquiries including external agencies and service providers.
  • Work closely with appropriate Finance employees and other associated financial analysis matters as required.
  • Prepare other payroll and benefits related reports, including annual vacation reports and other ad-hoc reporting as required.
  • Responsible for compiling statistical reports, statements, summaries, and payments for submission to appropriate agencies and departments. Review and analyze payroll accounting transactions, performing accounting adjustments as necessary.

Customer Service:
  • Adhere to customer service guidelines and procedures as established by Medicentres Canada Inc.
  • Acts as a subject matter expert on all Time and Attendance and payroll system matters (from a payroll perspective).
  • Respond to all employee payroll, questions and requests and escalate as appropriate

KNOWLEDGE, SKILLS AND EXPERIENCE:
  • Minimum 5 years of experience administering payroll, benefits and pension in a large-scale organization, and multi provincial experience preferred.
  • Thorough knowledge, experience and understanding of applicable legislation, concepts, company policies.
  • Ability to identify areas for improvement and take initiative to recommend process improvements.
  • Knowledge of payroll accounting required.
  • Knowledge of general accounting preferred.
  • Ability to prioritize, multi-task and meet deadlines, strong attention to detail.
  • Superior oral and written communication, represented in a positive manner.
  • Strong analytical and mathematical skills; strong Excel skills required.
  • Excellent understanding and experience of applicable computer programs, i.e., SAGE 300, PayWorks, Sage HRMS, Time and Attendance System, and Microsoft Office (Specifically Word and Excel).

Education/ Certifications
  • College Diploma in relevant discipline
  • Canadian Payroll Association Certification (PA/ PCP Designation) is a must.
