Job Description Summary

Working in a fast-paced team environment; assisting with the day to day collection of tenant receivables and general administration of a retail/office portfolio in excess of 2.4 million sq. ft.

Job Description

Accounts Receivable

  • Research payment history and reconcile tenant accounts and produce statements of account upon tenant request.
  • Prepare default notices for delinquent rental payments, ready for property manager signature
  • Prepare arrears reports for individual buildings for monthly owner reporting books
  • Prepare detailed explanation of account balances and status of collections
  • Complete collections calls while building positive tenant relations
  • Provide explanations to property managers on all outstanding arrears


  • Assist Property Administrator with daily bank deposits and reconciliations
  • Assist A/P Administrator with processing of invoices and supplying internal invoices for tenant and other chargebacks
  • Maintain tenant filing system, including lease files
  • Update and maintain Tenant Contact information in Outlook, including tenant addresses, emails and telephone numbers
  • General correspondence to tenants
  • Assist with the budget process, including data entry and distribution of budgets
  • Assist Property Administration with preparation and distribution of rental notices and year end reconciliation.
  • Reception relief as required.
  • Other related duties as required.

Skills and Experience Required:

  • Post-secondary education required
  • Prior experience in the Property Management or Real Estate field is a definite asset.
  • Strong written and verbal communication skills.
  • Must have excellent interpersonal skills.
  • Highly organized;
  • Must be self motivated, ability to work both independently and in a team environment
  • Must have ability to multi-task and to continuously adjust priorities.
  • Willingness to accept additional responsibilities, beyond specific duties, to assist management team
  • Enthusiastic and a willingness to learn.
  • Must be able to provide Clear Criminal Record Check.

Proficiency in Microsoft Suite of Products - Word, Excel, Outlook
