Join Westminster Management Corporation, a family-owned real estate office, and support a close knit team across accounting and administration while working closely with senior leadership in a flexible environment. Your New Employer Westminster Management Corporation (WMC) is a private, family-owned real estate office that has operated in Vancouver since 1925. WMC is a team of three and is expanding with the addition of an administrative and accounting support role. WMC currently owns two office buildings located in Vancouver and North Vancouver and holds investments in a range of projects across Vancouver, Victoria, and Seattle. WMC is a subsidiary of Yattendon Group, a private company based in the UK. Your New Role Reporting to the Controller, the Office & Accounting Coordinator will provide administrative and accounting support across WMC's office, working closely with the broader team in a small-team environment. This is an in-office role with strong flexibility, including the potential for a four-day work week, and offers the opportunity to add capacity to the team and support WMC’s continued growth. On the administrative side, you will act as the first point of contact for the office, welcoming clients, visitors, and service providers, coordinating mail and courier services, and managing office supplies and vendor orders. You will support the preparation of Board reporting packages, coordinate Board meeting logistics, arrange travel, and maintain calendars and key deadlines, including property manager and partner reporting due dates and UK reporting timelines. On the accounting side, you will process and track employee expense claims, manage accounts payable, and complete bank reconciliations. You will support daily banking activities including wire transfers and payments, complete monthly GST reconciliations and filings, assist in the preparation of monthly working papers, financial statements, and consolidations, and support the annual budget process. The role also involves coordinating updates to WMC's website and liaising with external IT providers to support the office's technology needs. What Sets You Apart You bring a minimum of three years of relevant experience in an administrative and/or accounting support role, with experience in accounts payable processing, accounting working papers, journal entries, and reconciliations. You are proficient with the Microsoft platform (Outlook, Word, and Excel), DocuSign, and Adobe, and are comfortable using accounting software. You have strong attention to detail and the ability to prioritize tasks and manage multiple deadlines, along with strong written and verbal communication skills and a professional, service-oriented approach. You are adaptable, able to manage a broad range of responsibilities efficiently in a small-team environment, and comfortable working closely with external partners such as property managers, vendors, and service providers while handling sensitive financial and business information with discretion.
